The broker helps the buyer identify properties that align with their budget, lifestyle, and goals. This includes setting up alerts, sending listings, and arranging showings. During this phase, the broker educates the buyer on local market trends, price expectations, and strategies for competitiveness. It’s also an opportunity to refine needs based on in-person visits.
Once the buyer selects a property, the broker drafts a formal offer using the appropriate purchase agreement and disclosures. This includes the proposed price, deposit amount, contingencies (inspection, loan, appraisal), escrow length, and closing terms. The offer is submitted along with a lender pre-approval and proof of funds to strengthen the buyer’s position. Strategic terms and clean presentation are critical to making a strong impression on the seller.
The seller may respond with a counter offer modifying price, closing timeline, or other terms. The broker advises the buyer on how to respond while preserving negotiation leverage. This back-and-forth may continue for one or more rounds until both parties agree. The broker plays a key role in balancing assertiveness with flexibility to keep the deal alive.
Once all parties agree, the contract is executed and the transaction becomes legally binding. At this stage, the escrow timeline begins, and all parties begin working toward fulfilling their contractual obligations. The broker helps coordinate communication between buyer, seller, escrow, and lender to ensure a smooth transition into escrow.
The broker submits the fully executed contract to escrow and title. Escrow opens a transaction file, issues escrow instructions, and begins managing funds and paperwork. Title begins researching the property’s history to ensure there are no liens or encumbrances that would prevent a clean transfer. The buyer receives wire instructions and preliminary documents from escrow.
Within the time frame specified in the contract (typically 3 business days), the buyer wires the earnest money deposit to escrow. This deposit shows the buyer’s good faith and commitment to completing the purchase. The broker ensures that the deposit is received and documented, which protects the buyer’s contractual standing.
The buyer hires licensed inspectors to assess the property’s condition. Standard inspections include general home, termite, and roof; others may include mold, foundation, or pool inspections. The broker coordinates access and may attend the inspection to ask questions and help interpret findings. This step helps identify any significant repairs or risks.
After inspections are completed, the buyer and broker review the findings and decide whether to submit a Request for Repairs or ask for seller credits. This can lead to further negotiation, depending on the severity of the issues uncovered. The broker guides the buyer on what’s reasonable to request and how to present it strategically.
Once the buyer is satisfied with the condition of the home—or after reaching a repair/credit agreement—they submit a contingency removal. This is a legal milestone, signaling commitment to move forward. If the buyer chooses not to remove the contingency, they can cancel the transaction and retain their deposit, provided it’s within the agreed timeframe.
If the property is part of a homeowners association, the buyer is entitled to review all governing documents, financials, meeting minutes, and CC&Rs. These documents may reveal restrictions, upcoming assessments, or rules that impact ownership. The broker helps the buyer understand key points and assess risk. The buyer can cancel if something material is unacceptable.
Once inspection and HOA reviews are complete, the buyer’s lender orders an independent appraisal to determine the home’s fair market value. The appraiser visits the property and submits a report to the lender. The broker ensures access and follows up on report timing. This step protects both the lender and buyer from overpaying.
If the appraisal comes in at or above the purchase price, the deal proceeds smoothly. If it comes in below, the buyer may negotiate a price reduction, pay the difference out-of-pocket, or dispute the valuation. The broker supports the buyer in reviewing the appraisal and navigating options based on lender guidelines and contractual deadlines.
If the buyer is satisfied with the appraisal—or has resolved any issues—they formally remove the appraisal contingency. This means they accept the valuation and will proceed regardless. This is another legal milestone that increases the buyer’s financial risk if they cancel afterward, so timing and certainty are key.
The lender completes a thorough review of the buyer’s income, assets, credit, and debt to issue final loan approval (also known as “clear to close”). This is the most sensitive part of the process and requires the buyer’s timely cooperation. The broker tracks progress and communicates with the lender to stay ahead of any issues.
Once the loan is officially approved and all financing conditions are met, the buyer removes the loan contingency in writing. At this point, the buyer is fully committed, and the deposit becomes non-refundable. The broker ensures all timing aligns with the contract to avoid legal or financial risks.
The seller provides a full set of required disclosures about the property, such as past repairs, neighborhood nuisances, or known defects. The buyer reviews and signs off on these items, often alongside the broker’s guidance. This step also includes review of escrow instructions, preliminary title reports, and any seller-provided warranties or invoices.
Typically conducted 1–3 days before closing, the buyer does a final walkthrough to ensure the property’s condition hasn’t changed and agreed-upon repairs were completed. It’s not another inspection—it’s verification. The broker accompanies the buyer to document any last-minute issues and coordinate resolutions with the seller, if needed.
The buyer signs the final loan package, title paperwork, and settlement statements. This is typically done at the escrow office or with a mobile notary. The broker ensures that all documents are complete and answers any last-minute questions to avoid delays.
The buyer wires the remaining down payment and closing costs to escrow, usually a day or two before closing. Escrow confirms receipt and prepares to release funds upon recordation. The broker reminds the buyer to avoid wire fraud by verifying account information directly with escrow.
On the official closing day, escrow records the deed with the county and confirms legal transfer of ownership. Once recording is confirmed, the broker delivers the keys to the buyer and celebrates the successful close. The home is now officially theirs.
